Privacy Policy

Books & Moods is a design studio working with independent authors. This policy explains what information we collect when you visit our website or hire us, how we use it, and the choices you have.

Who We Are

Books & Moods Design Studio, a graphic design studio working with independent authors. For any question about this policy or your data, write to [email protected].

What We Collect

  • Information you give us. When you send us a project brief or email us: your name, email address, what the project is, when you need it, and anything else you choose to tell us.
  • Project materials. If we work together: manuscripts, blurbs, style references, brand assets, and any files you send for the design work.
  • Billing details. Invoicing information and payment records. Card details are handled by our payment provider, not by us.
  • Usage data. Basic technical information your browser sends automatically, such as IP address, device type, browser, pages viewed and time of visit. Our hosting provider records this in its server logs to keep the site running and safe, and Google Analytics records the same kind of thing so we can see how the site is used. How We Use It

  • To answer your enquiry and prepare a quote.
  • To deliver the work you hired us for, and to keep in touch about it.
  • To invoice you and keep the accounting records we are legally required to keep.
  • To show work in our portfolio, on this site and on social media, once a book is publicly released or you have given permission.
  • To understand how the site is used so we can improve it.

We do not sell your information, and we do not share it for advertising.

Cookies And Analytics

This site uses Google Analytics to count visits and see which pages are read. It is the only third-party service the pages load, and the only thing on this site that sets cookies.

Google Analytics sets cookies in your browser (named _ga and similar) to tell one visit apart from the next. They record which pages you opened, roughly where in the world you are, and what kind of device and browser you used. They do not record your name, your email, or anything you type. We look at this in aggregate, to see which work gets attention and where people drop off — never to identify you.

If you would rather not be counted: block cookies for this site in your browser settings, turn on its Do Not Track or tracking-protection option, or install Google's official opt-out add-on. Blocking any of it leaves the site working exactly as before.

Who Else Sees Your Data

Our project brief form is hosted by Notion, and opens on Notion's own site when you choose to start one. What you type there is handled under Notion's privacy terms as well as ours. This site itself loads nothing from Notion: the link only takes you there.

Google receives the browsing data described in the cookies section, as the provider of Google Analytics, and handles it under its own privacy terms.

Beyond that, we share information only with the services we need to run the studio, and only as far as needed: our email provider, the services we use to store and deliver your files, our payment and invoicing provider, and our accountant. Each of them handles your data under their own privacy terms. If you would like the current list of who they are, ask us and we will tell you.

We may also disclose information if the law requires it.

How Long We Keep It

Enquiries that do not turn into projects are deleted after 12 months. Project files and correspondence are kept for 3 years after delivery, so we can help with reprints, re-uploads or a follow-up book. Invoices are kept for as long as tax law requires.

Your Rights

You can ask us at any time to show you the information we hold about you, correct it, delete it, or stop using it for a particular purpose. You can also ask us to remove your book from our portfolio. Email [email protected] and we will reply within 30 days.

Your Work And Your Confidentiality

Unpublished manuscripts and cover concepts stay private. We do not show unreleased work publicly without your say-so, and we do not pass your material to anyone outside the people working on your project.

Children

This site is meant for adults working in publishing. We do not knowingly collect information from anyone under 16.

Changes To This Policy

If we change how we handle data, we will update this page and change the date at the top. Significant changes will be mentioned by email to active clients.
